Operations and Event Support Coordinator
The National Association of State Retirement Administrators (NASRA) is seeking a proactive and dedicated individual for our part-time Operations and Event Support Coordinator. This remote position offers a unique opportunity to engage with a vibrant community of pension professionals. As part of the NASRA team, you will play a crucial role in orchestrating the logistics and coordination of our events, ensuring seamless experiences that foster networking and professional growth within the public pension community.

As our Operations and Event Support Coordinator, you will have the chance to travel to at least four off-site meetings annually, interacting directly with pension directors, public pension community members, and travel and leisure professionals. Your expertise will support the planning, execution, and enhancement of our national events, helping us to meet and exceed the professional needs of our members.

Part-time Position:  The position is a salaried part-time position designed to provide support to NASRA operations and events.  The work will approximate a half-time position; however, the work will peak and valley throughout the year and is not intended to require a specific hourly requirement per day. NASRA is a virtual office arrangement with each individual employee working remotely. NASRA provides all office equipment and supplies to support a remote work environment.

Requirements Duties and responsibilities will include but are not limited to the following:

  • Respond to member/associate requests and inquiries, as needed
  • Manage email account, including the forwarding of emails to appropriate staff person
  • From time-to-time update website with administrative items/review formatting of web pages for consistency with protocols (website updates are performed in natural language system-no computer language knowledge required)
  • Maintain email lists in Constant Contact (group email manager)—this is where all group association notices are drafted and sent.
  • Create News-Clips weekly template in Constant Contact, as needed
  • Participate in staff conference calls (currently biweekly) to discuss ongoing activities
  • Manage Executive Committee meeting binder creation and consolidation (twice yearly)
  • Prepare committee meeting notes and Executive Committee meeting minutes
  • Review documents as requested by Executive Director
  • Other duties as assigned
Conference/meeting management
  • Assist with setting up meeting registration module and troubleshoot registrations for annual conference and other meetings as requested
  • Respond to member questions and assist with meeting and networking registrations
  • Serve as on-site meeting coordinator at executive committee meetings (including making hotel reservations, working with hotel staff regarding meeting room set up, AV and meals)
  • Serve as on-site meeting coordinator at Winter meeting (including working with hotel staff regarding meeting room set up, AV and meals)
  • Manage registration desk at both winter meeting and annual conference
  • Manage duties of volunteers at annual conference
    • Including Camp NASRA activities (if any)
    • Coordinate preparation of conference bags
    • Evaluations
  • Share on-site duties with Executive Director at annual conference
  • Assist Executive Director with pre-conference preparations as needed—printing, design, DMC tour company evaluation, order conference bags and shirts
  • Prepare name badges and other material for annual conference and other meetings
  • Prepare speaker name tents for winter meeting and for roll call and general sessions at annual conference
  • Assist in setting up conference app (Guidebook) for winter meeting and annual conference
  • Assist Executive Director with preparation of information packets for meetings
  • Participate in evaluation of hotel bids for future conferences and meetings
  • Participate in on-site visit for annual conference
  • Provide assistance to members and others at annual conference and meetings
  • Tabulate conference evaluations in survey monkey for review at fall executive committee meeting.
Other:  Computer, software, telephone, training, supplies, etc. necessary to perform duties will be provided by NASRA.  Personal expenses incurred related to performance of duties to be reimbursed by NASRA.  Also provided - 15% employer-funded SEP IRA and $2800 QSEHRA health reimbursement benefit.
